Pitchbound ("Pitchbound", "we", "us") provides a sales engagement platform available at app.pitchbound.com (the "Service") and operates the website pitchbound.com. This policy explains what personal data we collect, why we collect it, and the choices you have.
The Service is operated by Pitchbound ApS, Njalsgade 187, 3. 12., 2300 København S, Denmark, company registration number (CVR) 46554302. Pitchbound ApS is the data controller for website visitors and for account holders' own account data. For customer and CRM data that an organisation uploads to or syncs with the Service, that organisation is the data controller and Pitchbound processes the data on its behalf under a data processing agreement.
If you have been contacted by one of our customers. Where a Pitchbound customer has called, messaged, or recorded a conversation with you using the Service, that customer is the data controller for your personal data. Pitchbound processes it on the customer's instructions. Please direct requests about that data to the customer; we will assist them in responding.
Account information. Name, work email address, phone number, role, and organisation details that you or your employer provide when an account is created.
Customer and CRM data. Contact details, company information, deal and pipeline data that you or your organisation add to the Service or sync from a connected CRM.
Calls and messages. When you use Pitchbound's calling features, we process call metadata (numbers, duration, outcome) and, where enabled by your organisation, call recordings, voicemails, and text messages, together with transcripts and AI-generated summaries of those recordings.
Meetings. If your organisation uses meeting recording, we process meeting audio, transcripts, and AI-generated summaries for meetings you choose to record.
Calendar data. If you connect your calendar, we access upcoming calendar events on a read-only basis to show your meetings in the Service and to schedule meeting recordings you have asked for. See Google user data below.
Payment information. Billing details are processed by our payment provider, Stripe. Pitchbound does not store full card numbers.
Usage data. Log data such as IP address, browser type, and actions taken in the Service, used for security, troubleshooting, and improving the Service.
We use personal data to provide and operate the Service; to generate transcripts, summaries, and other AI-assisted features your organisation has enabled; to provide support; to send transactional messages such as notifications and invoices; to secure the Service and prevent abuse; and to comply with legal obligations. We do not sell personal data, and we do not use your data to train AI models.
Where Pitchbound ApS is the controller, we process personal data to perform our contract with you or your organisation (Art. 6(1)(b) GDPR), to pursue our legitimate interests in operating, securing, and improving the Service (Art. 6(1)(f)), to comply with legal obligations (Art. 6(1)(c)), and, where required, on the basis of your consent (Art. 6(1)(a)). Call and meeting recordings are made only where your organisation has enabled the feature and is responsible for informing and, where required, obtaining consent from the other participants.
If you connect a Google Calendar, Pitchbound requests read-only access to your calendar events (calendar.events.readonly). We use this data solely to display your upcoming meetings in the Service and to schedule meeting recordings that you or your organisation have requested. We do not use Google user data for advertising, and we do not sell it.
Pitchbound's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
You can disconnect your calendar at any time in the Service, or revoke Pitchbound's access at myaccount.google.com/permissions. When you disconnect, we stop accessing your calendar and delete the associated access credentials.
Transcription, summaries, and other AI features are provided using Google Cloud Vertex AI, processed in Google Cloud's EU regions. Content submitted for AI processing is used only to generate the requested output for your organisation; it is not used by Pitchbound or Google to train foundation models.
We share personal data only with the parties below, which help us run the Service, under data processing agreements or equivalent contractual safeguards:
We may also disclose personal data where required by law or to protect the rights, property, or safety of Pitchbound, our customers, or others.
We retain personal data for as long as your organisation's account is active or as needed to provide the Service. Call and meeting recordings are retained according to your organisation's settings and agreement. When an account is terminated, we delete or anonymise personal data within 90 days, except where law requires longer retention (for example, accounting records).
We protect personal data with industry-standard measures, including encryption in transit, access controls, and network isolation of production systems. No method of transmission or storage is completely secure; we encourage you to use a strong, unique password.
If you are in the EU/EEA, you have the right to access, correct, delete, or export your personal data, to restrict or object to processing, and to withdraw consent where processing is based on consent. You may also lodge a complaint with a supervisory authority; for Pitchbound ApS the lead authority is Datatilsynet (Denmark). Where Pitchbound processes data on behalf of your employer, we may direct your request to them as the data controller. To exercise your rights, contact us at hello@pitchbound.com.
We host the Service in the EU. Some service providers, including Twilio, Recall.ai, Stripe, and Postmark, may process data in the United States. For those transfers we rely on the EU-US Data Privacy Framework where the provider is certified, and otherwise on the EU Standard Contractual Clauses.
The Service uses strictly necessary cookies and local storage to keep you signed in and to remember your settings. The website pitchbound.com may use analytics cookies; where consent is required, we ask for it through a cookie banner. See our Cookie Policy for details.
We may update this policy from time to time. We will post the updated version on this page and, for material changes, notify account holders by email or in the Service.
